Privacy Notice

We are not in the business of selling, renting or trading email lists with other organisations for marketing or surveillance purposes. For your information we’ve outlined in detail the ways in which personal data is handled or stored.

SSL

All website traffic is sent over an SSL connection so that intelligible data cannot be intercepted. This is particularly useful when forms are submitted, as data entered into the forms on the site may contain sensitive data such as personal data or authentication credentials.

Types of data

Google Analytics

We use the Google Analytics service to see how many visitors are viewing certain parts of the site. Information recorded by this tool cannot identify anyone. We use this tool to see if anyone is actually using certain parts of the site. The goal is to make the information as useful, findable and relevant to you, our users, as possible.

Bookings

When you use the website to make a request to book the pool, your request is submitted to our internal planning system. The contact details you provide are used only to communicate with you regarding the booking, eg to confirm and arrange for payment. Information about the bookings themselves are only retained by the system for the duration of the (opening) season (the spring and summer). No details are ever shared with a third party.

Customers can pay for their bookings by card. We use the payment processor Stripe to do this securely. Payments made through Stripe will be subject to Stripe's Privacy Policy.

Contact form

We use this to collect spam–thanks so much for all that (haha!).  From time to time someone emails us with a question (incidentally, opening times can be found on the homepage of this website). These messages exist long enough for us to get back to you, but they are not retained in any kind of contact list. No details are ever shared with a third party.

Login Cookie

People who work at the pool can log into the internal resourcing system to find out when they are working, or to request to cover certain sessions. In order to log in, a cookie is set to authenticate any requests made to the members section of the website. See below.

No details are ever unnecessarily shared with a third party.

Email

We use 'SendGrid' to send out system-generated emails. These are always for notification and never promotional. Notification emails include the following:

  • Booking request receipt

  • Booking confirmation

  • Employees are notified when they are assigned to sessions* (optional)

The pool management may contact you manually by email under the following circumstances:

  • To confirm or clarify a booking.

  • To make arrangements for payment for a booking.

  • To respond to a query from the contact form.

SMS

We use 'Nexmo' to deliver SMS messages to employees who wish to receive reminders when they are resourced to cover sessions*. These are sent no more than once per day.

Social Media

There is no requirement to register or authenticate via social media.

There are no share buttons on this site either, as they require us to embed third party code from the social networks that compromises the privacy of our users. You can still share links to our site though, that would be great!

Stripe

Booking payments are processed securely by a third party payment provider Stripe. Payments made through Stripe will be subject to Stripe's Privacy Policy.

Employees and volunteers only

If you work for WSP as a lifeguard or gatekeeper, you may be familiar with the online planner that shows when the sessions are scheduled.  You can use it to check whether you are working that day.

*We automatically contact employees to let them know they’ve been assigned to a session. If  you choose to be notified on the morning of your sessions this can be done by email or SMS. You can adjust your notification preference at any time.

Compliance and accreditation

In order to safely resource sessions with sufficiently qualified staff, some accreditation data is held relating to individuals employed by WSP. This is kept up to date with their training progress and lifeguarding accreditations. As qualifications or training lapse, individuals cannot be resourced to cover a session until they have refreshed their training.  Alternatively they can  choose to cease their involvement, in which case their data is  removed.

Access to your personal information

If you think you could be a person about whom we hold personal information and would like to know what it is, please let us know. You can request to view, amend or delete it as you like.
